Account Deletion Policy
1. Purpose
This policy explains how clients and other users can request account deletion, what data is removed or retained, and the responsibilities of both parties to ensure legal, financial, and operational compliance.
2. Scope
This policy applies to:
- Clients (customers placing artwork/design orders)
- Artists / QCs & Other Roles
- Former users of the platform
3. Account Deletion Types
3.1 Soft Deletion (Deactivation)
- Account is disabled
- User cannot log in
- Data remains in the system for legal, audit, or recovery purposes
- Can be reactivated upon request (within retention period)
3.2 Permanent Deletion
- Account is irreversibly removed
- Personal data is anonymized or deleted
- Cannot be recovered
4. Client Account Deletion Policy
4.1 Client-Initiated Deletion
Clients may request account deletion if:
- No active orders
- No pending payments, disputes, or chargebacks
- No legal or contractual obligations remain
Process:
- Client submits deletion request via:
- Profile Page, or
- Support Ticket / Email
- Account is deactivated immediately
- Permanent deletion occurs after 15-30 days
4.2 Data Retention for Clients
Even after deletion, the following may be retained:
- Invoices & payment records (for tax/legal compliance)
- Order history (anonymized)
- Communication logs (for dispute resolution)
Note: Artwork ownership & usage rights remain governed by contract terms.
4.3 Platform-Initiated Client Deletion
The platform may delete or suspend client accounts due to:
- Fraudulent activity
- Payment abuse or chargeback manipulation
- Violation of platform terms
5. Employee / Artist Account Deletion Policy
5.1 Employee-Initiated Deletion
Employees cannot self-delete accounts Deletion or deactivation occurs:
- After resignation
- After termination
- After contract completion
5.2 Offboarding Process
Before deletion:
- All assigned tasks must be completed or reassigned
- System access is revoked immediately
- Confidential data obligations remain active
5.3 Data Retention for Employees
The agency may retain:
- Employment records
- Work history & task logs
- Payment & commission data
- Artwork contribution history
Data is retained as required by:
- Labor laws
- Tax regulations
- Internal audits
6. Artwork & Intellectual Property
- Deleting an account does not remove ownership rights already transferred
- Submitted artwork remains property of the agency or client per agreement
- Portfolio usage is governed by employment or freelancer contracts
7. Security & Fraud Prevention
- Deleted accounts cannot be reused with the same email for a defined period
- IP, device, and transaction metadata may be retained for security
- Duplicate or malicious re-registrations may be blocked
8. Legal & Compliance
- The platform complies with applicable data protection laws
- Data deletion requests may be denied if required by law
- Users may request a data export before deletion
